Edit Your Custom Process

  1. Please click on 'Settings' in the sidebar on the left and click on ’Processes’ in the menu on the top of the Settings page. In the Processes list, please look for your custom Process you want to edit. You can just type in the name of the Process into the search field.
  2. To preview the Process chart in the Process Editor, click on the 'Preview' button ('eye' icon).
  3. Click on the  button next to the Process and click on 'Edit Details' to edit the Process name or Process description.

    In the 'Update Process' window, please type in the name of the process, and the description of the Process.

  4. To save a Process as another Process instance, click on the  button and click on 'Save As'.

  5. To send process for approval, click on the down arrow button and click on ‘Send for approval’ and choose appropriate approval workflow.
    Note: to be able to use processes in Project Management Module, they should be sent for approval through approval workflow
     
  6. To change process status – to set it as active, click on the down arrow button and click on Set as Active.
    Note: This is defined for Custom processes. After they are made and approved, they need to be set as Active in order to be ready for use in projects.

    If you want to change Process, it's status can be set as Inactive. On that manner, you can avoid that inadequate process be used until the new one is made.
  7. To delete a Process, click on the  button and click on 'Delete'.
  8. Click on the ’Edit’ button next to the Process to edit it in the Process Editor.
  9. In the chart editor, you can change the name and the description of the Process by clicking on the 'Edit Process Details' button (’pencil’ icon) on the top of the page. Enter the Process name and the description, then click Update.
     


     
  10. To rename a chart element, click on the chart element in the chart editor. Chart elements are highlighted red when selected. In the toolbar on the left, click on the textbox, type in a new title and hit Enter on your keyboard.
     


     
  11. To edit the properties of a chart element, click on the 'input' (’circle’ part) on the top of the chart element, then click on ’Edit Properties’ in the toolbar.
     



    Change the data fields you want to update and click on Update. We are going to change the Priority of the ’Approve the findings’ chart element to ’Medium’.
     

  12. To edit a Trigger, click on the chart element in the chart editor that is initiating the Trigger. In the ’Triggers’ section of the toolbar on the left, please look for the Trigger you want to edit. Click on 'Edit' (’pencil’ icon) next to the Trigger. In the ’Update Trigger’ window, change the conditions you want to update.
     



     
  13. To delete a Trigger, click on the chart element in the chart editor that is initiating it. In the ’Triggers’ section of the toolbar, please look for the Trigger you want to delete. Click on 'Delete' (’trash’ icon) next to the Trigger.

     
  14. To add a Note to the chart, please click on ’Add a Note’ on the top of the page.
     



    A blank rectangular shaped element appears for Notes. Click on the blank shape. An empty text box appears in the toolbar on the left. Type in your notes into the text box, and click on ’Save’. Now, the Notes are displayed in the chart. Optionally, adjust the position and the size of the Notes in the chart.
     


     
  15. To remove any of the chart elements from the chart, click on the chart element and click on the ’Close’ button in the corner of the element.


     
  16. You can zoom in or zoom out of the chart editor, or even zoom to fit using the Zoom buttons in the menu on the top of the chart editor. There are also 'Process Version Note' and 'Version/History Details'.
     

  17. After all changes are done, you can click on the 'Save' or 'Cancel' buttons in the top-right corner. To save the Process, the Start and End elements have to be connected by chart elements and Triggers. To close the chart without saving, click 'Cancel'. The following notification appears.
